Office Manager Benelux

European Operations - Amsterdam, Netherlands

Summary:

Currently, Seagen is quickly growing in Europe. Our infrastructure now includes a group of six operating affiliates located in different countries. The Benelux affiliate is based at Schiphol, the Netherlands.

The team in the Benelux is looking for an enthusiastic office manager with a “can do” attitude. We enjoy working with like-minded colleagues who want to join forces to improve the lives of patients. This is a unique chance to be involved in building something new. You will be “the spider in the web” and the “liaison officer” for the team. The job is diverse and includes taking care of the daily office management for the Benelux team, as well as ensuring appropriate HR, financial and IT support. All this in close collaboration with our European HQ team in Zug, Switzerland.

The position will be based at the Schiphol office in the Netherlands and report into the General Manager Benelux.

Principal Responsibilities:

  • Acts as a key point of contact for the Benelux organization
  • Managing day to day activities in the Seagen Benelux office, including planning and scheduling of business meetings and team meetings (on- site and off-site)
  • Implements & manages local supplier contracts, handles purchases of office equipment
  • Manages office & workspace related projects (expansions, relocations, repurposing of spaces)
  • Create efficient office procedures, filing systems, reports and record keeping methods
  • Liaises with Human Resources and coordinates various HR needs, including but not limited to payroll, compensation and benefit schemes
  • Keeps local staff files up to date, maintains the Pension portal, manages sick leave
  • Keeps the Belgium and Dutch employee manual overview up to date
  • Manages the on- and offboarding of local staff. Collaborate with HR, IT, Finance, Facilities as needed, creating a positive onboarding experience for our new colleagues
  • Acts as a liaison between European office in Zug and the Benelux entity for local implementation of compliance matters
  • Provide support with financial tasks, including budget tracking, processing of invoices, expenses, etc.
  • Support the transparency registry submissions for Belgium and the Netherlands as needed

Experience/Requirements:

  • Commercial education with a minimum of 5 years of relevant experience in a similar highly regulated environment; preferably within the life sciences industry
  • Advanced word processing and computer skills; proficient user of MS Office Package; familiar with financial software
  • Fluent in both spoken and written Dutch and English
  • Excellent organizational and time management skills, including the ability to manage multiple projects concurrently
  • Service oriented and with excellent problem solving skills
  • The ability to work independently and anticipate challenges
